The Parks often engage contractors for specialist maintenance and repairs outside of the Estate Teams’ skill sets. The contractor management module in myBuildings enables them to ensure contractors on Park are compliant and up to date with insurances required.
The platform has been able to provide the Park’s insurers with proof of inspections for safety purposes, as per legislative requirements, (this was after a guest incident resulted in a claim). Proof can be quickly found in the myBuildings platform and reports provided to insurers or other stakeholders.
The Estates team have also been able to report warranty and quality issues to manufacturers when a trend in failures of particular assets has been seen in the myBuildings platform.
The holiday park industry is a tight knit community and the platform has already been referred to another large leisure park operations team nearby.
Overall, the platform provides the Estates team with a comprehensive asset management system for planned preventative maintenance, reactive maintenance requests from Holiday Home Owners and the capability of reporting on operational activities as required.
Improving estate management through use of myBuildings
Kelling Heath Holiday Park and Woodhill Park are situated near Holt in the County of Norfolk, England. Kelling Heath is set amongst 300 acres of woodland and rare open heathland in an Area of Outstanding Natural Beauty, whilst Woodhill Park is located on a cliff top near Cromer overlooking the North Sea. Both Parks have a number of privately owned Holiday Homes and Lodges.
Kelling Heath has a dedicated Countryside Team to care for the natural environment and related activities which has been recognised and commended by several national award schemes. Sustainability commitments are at the forefront of the day to day operations of both Parks.
The Estates Team oversee the maintenance and operational aspects of the grounds and associated buildings which include a café, village store, reception, offices, Health and Fitness Club with both indoor and outdoor pool areas.

The teams at both Parks are now all users of the myBuildings platform.
All assets in the Parks have been recorded in the myBuildings asset register, including the fleet of maintenance vehicles. Where possible, QR codes are being deployed onto each asset for ease of tracking and reporting.
The contractor management module has been enabled and all outside contractors are asked to use the platform. All relevant contractor documentation has been housed within the myBuildings platform for insurance purposes.
Holiday Home Owner requests for general maintenance are logged immediately into myBuildings and then assigned to the appropriate maintenance team member or a specialist contractor.
Contractors now scan in and out of the Parks via a QR code situated on the facilities office door.
